These Terms of Service ("Terms") govern your use of Dokkio's email processing service ("Service") operated by Malex Software SRL ("Company", "we," "us," or "our"). By accessing or using our Service, you agree to be bound by these Terms and our Privacy Policy.

If you disagree with any part of these Terms, then you may not access the Service.

2. Description of Service

Dokkio provides an email processing API service that:

• Receives emails at registered addresses
• Extracts structured data using AI-powered processing
• Delivers extracted data via secure webhooks
• Provides API access for email address management
• Offers an interactive playground for testing extraction schemas

The Service is intended for business-to-business (B2B) use cases and email automation workflows.

4. Current Service Model

We reserve the right to introduce paid subscription plans in the future. If we do so, we will provide at least 30 days' notice before any changes affect your access to the Service.

5. Account Registration and Security

5.1 Eligibility

You must be at least 16 years old and have the legal capacity to enter into contracts to use our Service.

5.2 Account Security

• You are responsible for all activities that occur under your account
• You must notify us immediately of any unauthorized use of your account
• You must use strong passwords and keep your API keys secure
• We reserve the right to suspend accounts that show signs of compromise

4. Acceptable Use Policy

4.1 Permitted Uses

You may use our Service for legitimate business purposes, including but not limited to:

• Processing invoices, receipts, and financial documents
• Extracting data from order confirmations and shipping notifications
• Processing customer support and contact form submissions
• Automating business workflows that require email data extraction

4.2 Prohibited Uses

You may not use our Service for:

• Processing personal emails without proper consent
• Spamming or sending unsolicited emails
• Violating any applicable laws or regulations
• Attempting to breach our security measures
• Processing emails containing illegal content
• Reverse engineering or attempting to extract our intellectual property
• Using the Service to harm minors in any way
• Transmitting viruses, malware, or other harmful code

5. API Usage and Rate Limits

5.1 API Access

We provide API access for programmatic interaction with our Service. You must use the API in accordance with our documentation and rate limits.

5.2 Rate Limits

• API requests are subject to rate limiting to ensure fair usage
• Rate limits vary by subscription plan and endpoint
• Excessive usage may result in temporary API access suspension
• Rate limit information is provided in API response headers

5.3 API Keys

API keys are confidential and must not be shared. You are responsible for all usage associated with your API keys.

7. Data Processing and Retention

7.1 Email Content Processing

Dokkio processes email content to extract structured data according to your configured schemas. Our data handling practices include:

• Email Content: Retained for a user-configurable period from none to 7 days, then automatically deleted
• Extracted Data: Delivered via webhooks and not stored by Dokkio
• Webhook Logs: Retained for up to 1 day for retry purposes, then automatically deleted
• Account Data: Retained while your account is active

7.2 Third-Party Services

We use the following third-party services to operate Dokkio:

• DigitalOcean and AWS for hosting and infrastructure
• MongoDB for database services

7.3 No Personal Data Processing

8. Future Billing and Refund Policy

8.1 Current Free Service

Dokkio is currently provided free of charge to all users.

8.2 Future Paid Plans

When we introduce paid plans in the future:

• Subscription fees will be billed monthly in advance
• You will receive at least 30 days' notice before any billing begins
• Refunds will be provided for unused time, rounded up to the next month
• You may downgrade or cancel at any time

8. Service Availability and Support

8.1 Service Level

While we strive to provide reliable service, we do not guarantee 100% uptime. Service availability targets are specified in your subscription plan.

8.2 Maintenance

We may perform scheduled maintenance that temporarily affects service availability. We will provide advance notice when possible.

8.3 Support

Support is provided according to your subscription plan level. Support channels include email, documentation, and help center resources.

9. Intellectual Property Rights

9.1 Our Intellectual Property

The Service, including its software, algorithms, and documentation, is protected by intellectual property laws. We retain all rights not expressly granted to you.

9.2 Your Data

You retain ownership of the data you input into our Service. You grant us a limited license to process this data solely for the purpose of providing the Service.

9.3 Feedback

Any feedback, suggestions, or improvements you provide may be used by us without compensation or attribution.

10. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, IN NO EVENT SHALL DOKKIO BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, DATA, USE, OR OTHER INTANGIBLE LOSSES.

OUR TOTAL LIABILITY TO YOU FOR ANY DAMAGES SHALL NOT EXCEED THE AMOUNT YOU PAID TO US IN THE TWELVE (12) MONTHS PRECEDING THE EVENT GIVING RISE TO THE CLAIM.

11. Account Termination

11.1 Termination by You

You may terminate your account at any time by contacting us at contact@malexsoftware.ro or using the account deletion feature in your dashboard.

11.2 Termination by Us

We may terminate your account for violations of these Terms. For non-urgent matters, we will provide 30 days' written notice before termination. For serious violations, we may terminate immediately without notice.

11.3 Effect of Termination

Upon termination, your access to the Service will cease immediately. We will delete your account data according to our data retention policy. Any unused paid time (in future paid plans) will be refunded rounded up to the next month.

12. Governing Law and Jurisdiction

These Terms shall be governed by and construed in accordance with the laws of Romania, without regard to its conflict of law provisions.

Any disputes arising from these Terms or your use of the Service shall be subject to the exclusive jurisdiction of the courts located in Timis County, Romania.

13. Changes to Terms

We reserve the right to modify these Terms at any time. We will notify you of material changes by email or through the Service at least 30 days before they take effect.

Your continued use of the Service after changes take effect constitutes acceptance of the new Terms.

14. Miscellaneous

14.1 Entire Agreement

These Terms constitute the entire agreement between you and Dokkio regarding the Service.

14.2 Severability

If any provision of these Terms is found to be unenforceable, the remaining provisions will remain in full force and effect.

14.3 Waiver

Our failure to enforce any provision of these Terms does not constitute a waiver of that provision.
